Privacy Policy
TallyWeek is operated by Steinar Tanaka (“we”, “us”). This policy explains what we collect when you use TallyWeek, why, who else handles it, and the choices you have.
- We only ever read your books. We can't create, change or delete anything in QuickBooks.
- We use your data to send you your own weekly summary and alerts — nothing else.
- We don't sell your data, show you ads, or use your data to train AI models.
- You can disconnect or delete your account at any time, and the data is deleted right away.
What we collect
Your account. Your name, email address and password (stored only as a secure hash, never in plain text). When you sign in we record the IP address and browser type of that session, to keep your account secure.
Your business. The business name, industry and time zone you enter, plus the settings you choose (such as hourly rate, weekly hours target and client retainers).
Data from your bookkeeping software. When you connect QuickBooks Online, we copy the records we need to build your summaries: customers and vendors (names and payment terms), your chart of accounts, products and services, classes and locations, invoices, payments, bills and bill payments, purchases, sales receipts, deposits, refunds, credit memos, journal entries and time entries — covering up to the last 12 months for invoices and payments and the last 90 days for most other records. We don't keep free-text notes or memos, and we don't store the raw responses from QuickBooks.
What we produce. Your weekly summaries, alerts, and your feedback on alerts (for example, marking one “not a problem”).
Connection keys. The access keys QuickBooks gives us are encrypted before they're stored.
How we use it
- To calculate your numbers and send your weekly summary and alerts.
- To run your account: sign-in, password resets and email confirmation.
- To keep TallyWeek secure and working, for example by limiting repeated sign-in attempts and investigating errors.
We don't use your data for advertising, we don't sell it, and we don't share it except as described below.
Who else handles your data
We use a small number of service providers, who process data only on our behalf:
- Intuit (QuickBooks Online) — the source of your bookkeeping data, under the access you approve.
- Our hosting provider — runs the TallyWeek application and database.
- Resend — delivers our emails (your email address and the content of the email).
- Anthropic — writes the sentences in your summary. It receives only the figures and names needed for that summary (for example a client's name and an overdue amount) — never your login details or connection keys. Under Anthropic's commercial terms, this data isn't used to train its models. Every number it writes is checked against our own calculations.
- Google Fonts — our pages and emails load their typeface from Google, which receives your IP address when they load.
We may also disclose information if the law requires it, or to protect the rights and safety of our users or others.
How we protect it
- Connections to TallyWeek are encrypted, and QuickBooks access keys are encrypted at rest.
- Each business's data is kept separate at the database level, so one account can't read another's.
- Our access to QuickBooks is read-only, enforced in our code and checked by automated tests.
- We don't write financial details into our system logs.
No system is perfectly secure, but we'll tell you promptly if a breach affects your data.
How long we keep it
- Books data is kept while you're connected and refreshed as your books change.
- Disconnecting (from your TallyWeek dashboard) revokes our access and deletes the books data we copied. Your past summaries stay until you delete your account.
- Deleting your account (Settings → Account) permanently deletes your login, business, books data, summaries, alerts and settings, and revokes our access to QuickBooks.
- If you revoke access from inside QuickBooks instead, we stop syncing; you can then delete your data from Settings, or ask us to.
- Database backups kept by our hosting provider are overwritten on a rolling basis, within 30 days.
Your choices and rights
You can see and change your settings in the app, disconnect at any time, and delete your account yourself. To ask for a copy of your data or anything else about your privacy, email us at support@tallyweek.app. Depending on where you live, you may have further rights under local law (such as to access or correct your data), and we'll honor them.
Cookies
We only use essential cookies: to keep you signed in, and a short-lived one while you connect QuickBooks. We don't use advertising or analytics cookies.
Children
TallyWeek is for businesses and isn't intended for anyone under 18.
Changes
If we make material changes, we'll update the date above and let you know by email or in the app before they take effect.
